With 14 satellite sites and the central laboratory, Consultants Lab is a full service clinical lab serving 2 hospitals, 60 long-term care facilities and several other clinics, home care agencies, and smaller practices in Southeastern Wisconsin.  With 2 or 3 bankers boxes per day of files being created, Consultants Lab produced enough paperwork to require off-site storage for files.  In an effort to maximize efficiency for staff members and create ideal customer service with minimal lag time, Consultants Lab required efficient electronic systems to make files immediately accessible with minimal space requirements.

Actions

Consultants Lab chose ScerIS to evaluate the situation and provide a solution.   The project that followed encompassed converting data from an old legacy LIS into ScerIS ERM and implementing ScerIS Imaging for requisition storage.   Immediately following implementation, Consultants Lab began looking at possibilities for future system expansions.  The project manager from Consultants Lab exclaimed at the conclusion of the project, “I have never worked on an implementation that went as well as this one.”

Results

Consultants Lab began scanning the approximately 1,000 requisitions per day that were produced, with the expectation of using imaged records going forward.  The team has since discovered that the newly realized efficiencies allow time to scan in old documents as well.   Scanned documents now reside in a centralized location along with information from the converted legacy system; allowing Consultants Lab to stop maintaining the aging system, stop the propagation of filing cabinets and bankers boxes, phase out the off-site storage area and begin reclaiming their office space.

Scanned documents are indexed automatically using barcodes with checksum algorithms to provide 100 percent accuracy for the captured data.  Using the barcoded accession number, ScerIS cross-references new information with information provided by the LIS to backfill indices such as Patient Name, Requisition Number, and Mini-Log Date.  The indices were configured by Consultants Lab during the implementation phase, ensuring complete integration with their existing applications and filing systems.

Information is now accessible to multiple users simultaneously through the host application or through the ScerIS Web Client.  The web client's browser interface allows annotation of images and redaction to protect confidential information.  In accordance with regulatory requirements, access to ScerIS is controlled by security logins and each search, viewing, and printing is logged to provide an audit trail, essential for HIPAA compliance.

The integrated solution provided to Consultants Lab enables easier management of the satellite operations and allows standing orders to be accessed without regard to where a patient chooses to go within the network.  The staff using ScerIS has noted they cannot imagine returning to paper processes.
